視信的內(nèi)容是否重要,還可以開(kāi)頭加上URGENT或者FYI(For Your Information,供參考),如:URGENT:Submit your report today!

1、稱(chēng)呼要禮貌得體,符合商務(wù)英語(yǔ)寫(xiě)作習(xí)慣。
如不知對(duì)方姓名只知頭銜,可用 Dear + Title作為稱(chēng)呼;如只知對(duì)方姓名不知性別,可用Dear + 全名; 如郵件為一封通函,則用Dear All作為郵件稱(chēng)呼;
2、正文應(yīng)結(jié)構(gòu)清楚,便于閱讀。
如正文內(nèi)容較長(zhǎng),可使用小標(biāo)題、小段落,或利用星號(hào)、下劃線(xiàn)及段落間空行等方式使郵件眉目清楚、一目了然。
3、用"Hey"作為寫(xiě)給朋友的電子郵件開(kāi)場(chǎng)白沒(méi)有任何問(wèn)題,但是最好不要用這種方式給一個(gè)潛在的商務(wù)伙伴這樣寫(xiě)信。另,用非常正式的傳統(tǒng)開(kāi)場(chǎng)白"Dear Sir" 也已經(jīng)越來(lái)越過(guò)時(shí)了。最好寫(xiě)成"Dear Mr. / Ms." 后跟那個(gè)人的姓氏。同事之間,通?芍焙羝涿,如"Dear John"。

C、簽名:不要把Mr., Ms., Mrs., Dr.之類(lèi)一起簽;簽名也看信件的語(yǔ)氣.給朋友或公司客戶(hù),簽Bill也可以, 給陌生人就最好用Gates或者Bill Gates.

1、切忌主客不分或模糊

2、句子不要凌碎

3、結(jié)構(gòu)對(duì)稱(chēng),令人容易理解。
例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.
應(yīng)改為:The owner questioned the occupant's lease intentions and ink alterations of the contract.
4、單復(fù)數(shù)不要亂,不然會(huì)使讀者看著不舒服。
例如:An authorized person must show that they have security clearance.
5、時(shí)態(tài)和語(yǔ)氣不要轉(zhuǎn)變太多。
6、選詞要正確
7、地址上的數(shù)字直接用阿拉伯?dāng)?shù)字, 除了“One”以外,例如:

B、文體
1、可讀性:對(duì)象是大學(xué)程度的話(huà),用高中的英文就行,最好多用短句 (15-20字);對(duì)于技術(shù)性的字, 就更加要簡(jiǎn)單易明了。
2、注意段落的開(kāi)頭:一般來(lái)說(shuō), 重要或強(qiáng)調(diào)的事情都放在信件或段落的開(kāi)頭,例如:
。1).Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape.
(2).He forwarded his congratulations on cassette tape because he was unable to attend the meeting personally. 兩者強(qiáng)調(diào)的事情就有分別了.
3、輕重有分, 同等重要的用and來(lái)連接,較輕放在次要的句子里.
4、意思轉(zhuǎn)接詞要留神. 例如: but (相反), therefore (結(jié)論), also (增添), for example (闡明).
5、句子開(kāi)頭不要含糊不清的主詞。
例子: These decisions have been a big disappointment to the committee members. They have delayed further action. They是指什么? 開(kāi)頭少用this, that, it, they, 或 which.
6、修飾詞的位置要小心,
例如: He could only reimburse the cost after July 15.
應(yīng)為 He could reimburse the cost only after July 15.
7、.立場(chǎng)觀(guān)點(diǎn)一致. 少用被動(dòng)語(yǔ).
例如: Partial data should be submitted by April.
改為: You should submit partial data by April.
C. 格調(diào)
1、式樣和句子長(zhǎng)度不要太單調(diào),千篇一律的subject-verb-object會(huì)使得郵件很枯燥;有時(shí)時(shí)短句跟著長(zhǎng)句可以使得郵件豐富一些.
2、弱軟的詞(e.g. was, were, is, are...)可以加強(qiáng)一點(diǎn).
例如: Prunton products are highly effective in ...
改為: Prunton products excel in ...就有力很多了.
D、內(nèi)容與附件
E-mail文體的另外一個(gè)特點(diǎn)是簡(jiǎn)單明了,便于閱讀,太長(zhǎng)的內(nèi)容可以以附件的方式發(fā)出。一個(gè)段落大多僅由一到三個(gè)句子組成。
另外,為了節(jié)約時(shí)間和空間,電子郵件中可使用縮略語(yǔ),如“U”表示“you”,“Pls”表示“please”,“Info”表示“information”,“Qty”表示“quantity”。

Thanks for your letter which finally caught up with me in London. I suppose you're keen to hear how the trip has been so far. So here's a short description of what's happened.
Well, you remember we left Sydney on Monday and arrived in London 24 hours later. After such a long and exhausting flight the first thing we did was to have a good, long sleep. And after that?a good meal to make up for all that horrible airline stuff!
The first real day of our holiday was spent just walking around London to get a feel of the place. After that, however, we were more particular and planned each day carefully.
First, we looked at all the historical sights, such as the Tower of London, the Houses of Parliament, the British Museum and the National Gallery. Then we visited some other famous places, such as Kew Gardens and Hampstead Heath. Finally, we took a one-day trip to Oxford, which is really the most marvelous town. You should make sure to go there when you visit England.
After we had seen a lot of London, we flew to Paris. A t first, we didn't like the place-I suppose because it was so different from London. Later, though, we began to really love it and started to appreciate its differentness.
The final stage of our trip is a visit to Rome, after which we will be staying in Singapore for two days before returning to Australia.

I am writing to you for the mobile phone of Dephone—S250 I bought on 20th Apr。20xx at Tele Mall in Wuhan, P。R。 China。 Ten days after that, it didn’t ring and send short messages。 Then I took it to the seller, but was told that the model had been sold out and I had to wait at least three months for a new one。 I had no choice but to go to the repairman。 To my disappointment ,he said since it was a new model in China, it was impossible to fix it without the right spare parts。 I was so desperate on hearing that for I can not wait that long。 Therefore, I have to require that you send me a new one of the same model within a month。
